The Sales & Receivables Setup Table Might Be Doing Less Than It Could

Over the years, I’ve worked with organizations of every size using Microsoft Dynamics 365 Business Central. One pattern appears again and again: companies often look for customizations, third-party applications, or manual workarounds to solve challenges that Business Central can already address through configuration.

One area that frequently gets overlooked is the Sales & Receivables Setup table. Most teams visit it during implementation, make a few decisions, and rarely return. Yet this single setup area influences everything from document processing and customer communications to pricing, posting, archiving, and automation.

Settings Review

If it has been a while since you’ve reviewed your settings, now may be the perfect time for a second look.

Take comments, for example. Many users are surprised to learn they can configure comments to flow automatically to specific sales documents. Whether it’s customer instructions, special handling requirements, shipping notes, or internal communication, having the right information follow the transaction can improve consistency and reduce mistakes. Instead of relying on emails, sticky notes, or tribal knowledge, Business Central can help ensure critical information appears where it’s needed.

Another feature worth revisiting is the ability to schedule posting through the Job Queue. Rather than requiring users to manually post transactions throughout the day, organizations can automate posting activities to occur at scheduled times. This can be particularly valuable during month-end processing, high-volume order periods, or when teams want routine transactions processed after hours.

Notifications are another area where many companies leave value on the table. Business Central can proactively alert users to approvals, exceptions, process issues, and other important activities. Instead of constantly checking screens and reports, users can allow the system to notify them when action is required, helping improve responsiveness and accountability.

The default settings available within Sales & Receivables Setup can also have a significant impact on productivity. Small configuration choices made here affect daily user behavior throughout the system. Taking time to review posting defaults, invoice settings, numbering controls, and document handling options can simplify processes, reduce errors, and create a more consistent user experience.

Document archiving is another capability that often gets overlooked. Have you ever wanted to see what a sales order looked like before changes were made? Archiving provides a historical record of document revisions, allowing users to review previous versions and maintain a stronger audit trail. For many organizations, this functionality alone can save valuable time when questions arise.

Templates provide another opportunity to improve efficiency. Rather than relying on users to remember every field and setting, templates help standardize processes and ensure consistency. Whether creating new customers, processing common transaction types, or supporting user onboarding, templates can reduce errors and improve adoption.

Financial Capabilities in Business Central

Many organizations are also surprised to discover the financial charge capabilities available within Business Central. Properly configured, these settings can help automate finance charges, service fees, and related customer billing processes while ensuring policies are applied consistently across the organization.

And then there is pricing. The sales pricing functionality in Business Central has evolved significantly over the years and continues to become more powerful. Customer-specific pricing, quantity discounts, promotions, campaigns, effective dates, and flexible pricing structures can all be managed within the application. Yet many companies continue using only a fraction of what is available.

The Sales & Receivables Setup table is just one example of the depth built into Business Central. The real opportunity isn’t simply processing transactions more efficiently; it’s understanding the configuration options that shape how the system works for your business. Sometimes the answer isn’t another customization or add-on. Sometimes it’s already sitting in a setup table waiting to be used.
