Open the RMA Closing window. Transactions > Returns Management > RMA Closing

Select a way to view the RMA documents. To view all open RMA documents, select All.

Select the M (Marked to Post) check box to have this RMA show up on the preview report or to close it. Click Mark All to choose all RMAs available for closing.

If the RMA line is a kit item, enter information in the Repair Cost and Repair Price fields. When a kit item is marked for closing, the related kit items also are closed, even though they are not displayed in this window.

Click Preview to print a preview of the items selected for closing. Select the P (Print) check box to include a detailed report of the records posted during the closing process.

Click Post.
Only those RMA documents that have been selected as Ready To Close in the RMA Entry/Update window will appear in the RMA Closing window.

This probably won’t work, but here’s where you can try to add the document number. In Purchasing Transactions go to Edit Transaction Information. Pick the vendor then Doc Type of Payment. Since you don’t have a payment number, do a look up and see if by any chance it will let you ‘select’ the blank record that you see. If so, add the doc number and save.
I suspect it won’t let you pick the blank record though, so as option 2 I would make a backup of your database and run reconciles on that vendor. This might or might not add a doc number if by chance the doc number does exist in another supporting table. Slim chance this will work but also worth a shot.
Beyond that you’ll have to have your partner go into sql and either add a doc number or delete the payment record.

Check out SalesPad by Cavallo. They have a customer portal as well as integrations to Shopify and WooCommerce. The latter two are eCommerce sites that I suspect you could limit access to so only your customers could see them.

@christine-polifkaus-bigdaishowa-com what rate is used should be based on the document date of the invoice, but also on the selection in the Exchange Rate Table Setup. There is a setting in that window that tells whether to use the Exact Date, Previous Date, or Next Date to determine the exchange rate. What is selected for the date to use will guide which rate is applied to the invoice.

Hey Christine,
There really isn’t a best practice around the two Payables setup options you’re asking about. It’s really what works best for you company. That said, here is a little information on the settings:
Age By Invoice Date vs Due Date – Example you have an invoice with Invoice date of 6/1/2024 and and Due Date of 6/15/2024. When you run your aging at 7/1/2024, if you age by invoice date your in will be 31 days old so it will fall into the 30-60 days old bucket. If you age by Due Date your invoice will be 16 days old so it will stay in the current bucket.
For Apply By if you let the system auto apply credits or payment, the credits/payments will be applied to the oldest documents first. So if you have Invoice A with an invoice date of 7/1/24 and a due date of 7/15/24 then Invoice B with an invoice date of 7/2/24 and a due date of 7/14/24 – If you apply by doc date payments/credits will apply to Invoice A first. If you apply by due date payments/credits would apply to Invoice B first.
