Budget Import Error
Posted by Shari Bruno on August 11, 2017 at 12:28 pm-
?We recently upgraded from 2015 to 2016R2 and are importing budgets for the first time on the new version. We receive an error message when trying toĀ import that states “The import failed because the spreadsheet is in an incorrect format.”Ā Unfortunately, we cannot find what the format of the spreadsheet is supposed to be so that we know if it is in the correct format. But when comparing it to the spreadsheet used last year it looks identical. Does anyone one know where to locate the correct format of the spreadsheet? Or is this connected to 2016R2 and are we missing something that wasn’t needed in previous versions?
Thanks!

?The easiest way to obtain the correct format – in a template, is to download or hit “create budget in Excel” and it will open up a formatted template….
I can’t send screenshots right now – so this is all from memory.

?Hi Jo,
I don’t see any options to create a budget in Excel.
Our budget is created through Analytical Accounting – sorry, I should have added that in my original question. It is accessed through Financial>Cards>Analytical Accounting>Budget.

?Analytical accounting certainly makes the budget import more complicated. Do the names of the budget tree (cell C5 in our import) and the name of the budget (cell P2) match to what you’re uploading?——————————

?Hi Mark,
IĀ agree, Analytical Accounting can be a bear to deal with. Those cells do not match but for us they have never matched and the budgets have always imported okay. It’s a frustrating mystery.

Hey Shari,
You should be able to export the budget from AA as well.Ā In your AA Budget Card – click Export in the menu and you’ll get that second screen shot asking where to send it to.Ā Then an Excel spreadsheet will open that has the format you need.Ā Then you can just change the applicable fields and re-import.Thanks

?Thanks Windi. We tried this and it still won’t load. The budget we’re trying to load is for one of our companies that does not use USD as their functional currency.Ā Ā We found some discrepancies in the column headers – some in their currency, some in ours – and corrected it so all columns have the same currency, but it still won’t load.

I haven’t found anything yet on the currency, but you can only import a budget if the budget ID, budget tree ID and budget year match the values in the AA Budget Maint Window.Ā I’ve highlighted those below so you can see where they show compared to what I have in my setup.Ā See if maybe that points you in the right direction and I”ll dig into the m/c a bit.——————————

?Hi Windi,
Thanks for the information. We are also checking into this grayed out checkbox to see if that might be causing the issue.

In the previous set of screen shots, you’ll see that mine is grayed out too – but that’s because on the AA Budget Maint window I have it set to budget by Tree.Ā If you want acct level budgeting, you’ll need to toggle that switch.Ā It’s right below the budget id.——————————

This has been a good learning experience for me. We do budget on the account level and our system administrator is working on granting access to the Export Account check box.
Thanks for your insight with this, it has been very helpful.

Keep me posted – I’d love to see how it all turns out and what the missing piece actually was. š——————————
