Hi,

I’m new to NAV 2015 – and we are scheduled to upgrade to BC 14/On Prem before end of year.

Question:   If we receive an email from a customer which has 2 columns:  item # and quantity, is there a way for me to open up a new sales order, and “copy and paste” the 100 lines from the email into the order? 

(Rekeying is taking forever – and causing errors.)

Is this an existing feature?  Do we need to buy an add-on?

Appreciate any guidance you can give.

Hi Kevin,
You can use a Rapid Start template for this process. I suggest creating the Sales Order Header manually and then create the lines with Rapid Start.  Having the Sales Order Header already created makes it a much simpler process.  Then you use the Rapid Start function to update table 37, Sales Line table. (Go to You Tube for Rapid Start videos!)  This is a good option if they are sending the order information via Excel spreadsheet. 

You could also possibly use the Standard Sales Line functionality if the orders tend to be the same Items and/or quantities. Basically, this process allows you build an Order Line template and then assign it to the Customer. On the order you can select the template which will then populate the lines.  The lines are editable from that point on so if this time, they only order 98 of the 100 items they typically order, you can just delete the two not needed for the current order.  this would be a good option if the orders tend to be repetitious. 

A Blanket Order might also work well. Similar to the Standard Sales Lines, the Blanket Order would be good to use if the order is repetitious in nature.

You have a tool called Rapidstart that you can use to import data into NAV. Your data import needs to include the primary keys on the table (Table 37 – Sales Line – Document Type, Document No., Line No.) plus the fields that you want and you should follow the NAV Line No. scheme (start at 10000 and increment each line by 10000). In order for this to you need to create the Sales Order with Location Code and use the Document No. in NAV. 

Create a test company and try it out there.

Hi Kevin,
Yes you can copy and paste into Sales Order.  NAV2015 can be a bit finicky with this and you’ll need to keep trying until you find the precise movements that work for you.  My users do it all the time with other pages in NAV.

Here are the steps I would perform.
1. Adjust Sales Order page to show Type, No., Quantity.
a. You can have additional columns after Quantity, but not in between.
b. Best to hide Description and not move it to after Quantity.
i. NAV will want to auto populate No. so moving it or making it blank will probably clear out the Description.

2. When you receive the Excel sheet, add Type at the beginning.
a. Enter “Item” into the new column and copy all the way down.

3. Copy cell A2 (assuming you have a header row) down to cell C101.

4. In the left margin of Sales Order lines,
a. Right click and choose Paste Rows
b. This is the step where you would need to test until you get it right.

Hi Jimmy,

This is working exactly as you’ve described below.

We have a 3 column template (item item item item – worked) that is working.  

I really like this option – once we nail down the template, multiple Customer Service folks can use it via the front end.  

If there are issues (with our template, or our process), the front end of NAV will hopefully prevent us from “garbage in.”

I’m very cautious about the Rapid Start process.  I am not sure how to build in safeguards, to prevent me from making a mess that we have to clean up.
