Open and Edit in Excel Through Business Central

Many businesses use Microsoft Excel, but they typically operate it as a standalone application rather than fully integrating it into their workflows. With Microsoft Dynamics Business Central, Excel can be utilized for its primary purpose of data analysis. By employing Business Central, a leading ERP tool, Excel becomes a powerful tool, enabling you to harness the power the your ERP while maximizing your investment in the Microsoft ecosystem. Integrating with Microsoft Excel streamlines the process of viewing and editing large data sets. Users can choose to either “Open in Excel” or “Edit in Excel.” In this blog, we will explain how to access these features, discuss their benefits for your business, and outline key considerations.

Accessing Excel Features 

When handling lists with columns and rows in Business Central, click the “Share” icon at the top of the page. Then choose either the “Edit in Excel” or “Open in Excel” action. These features are applicable to lists of invoices, customers, sales orders, and more.

Open Versus Edit in Excel

When you choose “Open in Excel,” any changes you make in the Excel file will not affect any work held in Business Central. You can only save your modifications as an Excel document, without publishing the data back to the ERP. “Open in Excel” is useful for users who want to view their information in Excel for easier digestion or to organize your data with filters. If you need your changes to impact the data in Business Central, select “Edit in Excel.” This option is ideal for making bulk edits to your data.

Important Features of Edit in Excel

Neither editing nor opening data in Excel will compromise security parameters. This means that if you have a user that does not have permission to edit parts of your data, these restrictions will hold when you export to Excel. Additionally, Excel prevents the upload or import of invalid data. These features ensure that you can use Excel with peace of mind.
