Project Accounting

?We are currently in the process of implementing GP Project Accounting as our project management source.Ā We currently use Encore.Ā One thing I have noticed is that there doesn’t seem to be an easy way to attached a journal entry to a project which is something that is a must have for us.Ā We currently use the copy/paste function from an Excel template and use a unique keystroke to open up Encore and attach AFE(project) numbers to the appropriate lines.Ā Is anyone out there using Project Accounting and posting JE’s with the AFE or Project number attached somehow?Ā I would love to know how you are doing this function.

Hi
I love that you guys have started using GP’s Project Accounting Module.Ā I’m a big fan of that module, myself!
The answer to your question is that you cannot post JE’s to the Project Module.Ā However, you can shift thoughts on it a bit.
Most people who need to post to GP’s project do so by the type of entry it is:
Time and Expense
Equipment Usage
Miscellaneous Logs
Inventory…This helps the functionality and reporting on Projects.
If you want to bring in “Random” entries, such as a GL entry, you use the transaction type: Miscellaneous Log Entry.
Unfortunately, you can’t cut and paste into it, but several products INTEGRATE into it.
You may be able to have someone write some customization for you, but take a look at the Misc Logs and let us know what you think.
Hopefully, other collaborators here on the forum have some tricks up their sleeves š

?Thanks, Jo.Ā We had heard about the Misc Log option but being so used to the efficiency of the copy/paste, it was a little more cumbersome.Ā We are currently working with our VAR on a solution and possibly an import of some sort.Ā I was just hoping there was an option that we weren’t aware of.Ā Thank you so much for your help!

Not sure how much time you have spent with project accounting but you may want to consider Ket2act job cost.Ā I used project accounting for my own practice and found that the only way to get costs in directly was thru purchase orders.Ā The different log postings are used to get items in thru AP entry, GL entry.Ā It really becomes two entries to get one transaction into the job. When I learned about job cost I found you can put costs to your jobs almost everywhere.Ā GL transactions, AP transactions, Inventory and purchase order.
I’ve implemented both for customers so this is what I have learned from using and implementing.
Best Regards,

If you own SmartConnect, it would be relatively straight forward to build a “journal entry” template that actually integrations to Misc Logs so you import all journal entries for jobs.I built a template for a customer many years ago that they would use for either GL Journal Entries or ML “journal entries” (JE to a job) and I simply had the SmartConnect maps filtering the source data depending on what was filled out. It had 2 maps, one GL, one ML, pointing to the same source, set to run 1 map after the other successfully completed so it would run both types in 1 click so to speak.
