New segment – GL Code

I use the second segment in our GL code as a location code, I need to add a new location, is there a way to add this to each existing GL account without having to enter each individual one separately? Â Example XXXX-01-XXX-XXX. Â The 01 is for location 01, Â I need to add location 20 and need this for each revenue and expense account. Â Currently I have to manually set up each individual revenue and expense account. Â So I would have to manually add about 100 GL accounts for each new location. ÂHope this makes sense, the way I am wording this question.

Do you use Integration Manager?
I use that and build the data in an csv file then integrate.  We are adding new locations and install types all the time so I’ve found this to be a DREAM for me.  🙂

I am not sure if we are using Integration Manager. Â How would i look to see if I have access to this? Â I have only been using GP for 3 months, still figuring all this out——————————

The keyboard shortcut is Alt + F12. This will open Integration Manager if you have security to it and it is installed. Otherwise it is Microsoft Dynamics GP > Tools > Integrate > Integration Manager.

Using Mass Modify you can do this.
I would change the sort to your location sort. Then you can put in a range for the accounts you want to copy and change the display to Selected Range to make sure you are not creating accounts that you do not wish to create.
If you have Integration Manager it is another way of creating the new accounts in GP.

Mass modify is the easiest and fastest way to do this. It was actually designed specifically for these situations.
It’s at Financial>Cards>Mass Modify
Choose Copy, then select your range – since you specified you want to copy all of your accounts, then choose “All” in the range and then at the “New Account Mask” input your new second segment and leave the rest the “?” wildcard.
Then click modify and in seconds your new segments are created.

I have done this and a message pops up saying a duplicate account was encountered. Â Do you want to continue copying accounts? Â I said no as I do not want to do a major change without making sure I am doing this correctly——————————

Jaime,
I think that someone manually setup some of the new accounts then. I would check there first. If that is the case then you could enter a beginning and ending account above and change the radio button to Selected Range so you can see what new accounts will be created.

Hi Jaime:
On the duplicate account – it sounds like you attempted setting up one of the accounts already and it tried to set it up again. Just say okay to continue – or do a lookup and determine if the account with that segment is already in use – you may have to select another number for your new segment.

Jaime:I use Mass Modify too. It sounds like you might have some locations that don’t need all of the main GL account numbers. If so, it is similar to ours. We have specific main GL accounts that are assigned by types of locations. Our account structure is XX-XX-XXXXX-XX. When I need to add a location I use an existing location that is the same as the location that I need to setup. So, to set up new location 01 in dept 45, I would copy From: 25-01-10500-00 To: 25-01-97900-00; new account mask: 45-01-?????-??
This will copy only the main GL accounts that are included in the setup of 25-01. It is very helpful when you may have a different set of main GL account numbers for other locations. Great time saver!
