      We are using GP2010 to do invoicing and BBO for timesheets. Currently, the finance team prints out all of the invoices from GP, then pronts out all of the timesheets from BBO. Puts the correct timesheet with the matching timesheets for each client and then scans them in to create PDF that can be emailed that includes the timesheets and the invoices.Ā 
      I am new to both GP and BBO, but there HAS to be a better way to do this.Ā 
      We are a CA based company and require time-in/time-out timesheets… which is why we cannot use the timesheets in GP.Ā 

      Has anyone faced something similar and found a solution?Ā

      Can you get to the data in BBO? One idea is to use SQL Server Reporting Services to create invoices which pull data from both systems.

      Good morning!

      I wrote a long thing about how my company utilized Integration Manager to import time sheets from an external system, but re-reading your question it looks like what you need is a watched folder!

      “An administrator can configure a network folder, known as aĀ watched folder, so that when a user places a file (such as a PDF file) in the watched folder, a pre-configured operation is started and manipulates the file.” -from Adobe’s website, but they aren’t the only option

      There are lots of software and programmatic options to make this happen, but essentially invoices go in one folder named with an identifier and time sheets go in another folder with the identifier to match to appropriate invoice, code matches and combines them into a new pdf.

      You probably already own software that can do this, and it is just a matter of setting it up. If not, there are solutions to fit any budget.

      I don’t like to make assumptions so I just wanted to clarify.Ā  When you say BBO, you are referring to Bullhorn Back Office? If so, it sounds like you are in the staffing industry?Ā  Would you mind me asking who your partner is?Ā 

      If I have the information correct, I can provide more information.Ā  If it’s incorrect, then at least I am not wasting any of your time. šŸ™‚Ā

      @Jamie Evenson – Yes, we are using Bullhorn Back Office and we are a staffing company. We use JobDiva for our ATS, though.

      Hi Jody,

      Liaison Messenger EDD can automate this whole process for you. Messenger EDD can archive copies of your time sheets coming out of your BBO software if that product does not have that capability already. We will use data off of the time sheet to assign a name to each PDF created.Ā 

      When you print your invoices in Dynamics GP, Messenger EDD will use data on the invoice to retrieve the proper time sheet from the archive folder, merge it with the invoice and then email it to the customer. No training for the end use is necessary. The end user just prints through their existing print procedure in GP with the only change is that they now print with the Messenger EDD print driver.Ā 

      The time sheets can also be archived together with the invoices. This PDF(invoice/timesheet) can later be attached to the statement when statements are created.
