Accessing Inactive Field In a SmartList Report

?Good Afternoon!
I’m trying to putĀ “Inactive”Ā into an Inventory>ItemsĀ SmartList and have not been able to locate it:
I’ve tried looking for “Inactive” and “Active” as well as “Status,” along with pulling in all of the User Defined options to see if it’s living there and have had no luck.Does the field have another name? Or do I need to search in a different folder/subfolder?

You are right, that is not anywhere in the Inventory Smartlists at all.Ā Ā The field name is “Inactive”.Ā Ā
The only way I got it to show was a custom Smartlist (Designer or Builder) looking at the Item Master and joining with the default Smartlist (SL Builder) on the Inventory Number.
Interesting that it’s not there out of the box.Ā

Things that make you scratch your head! Ā
When using SmartList to identify inactive customers, vendors or items just simply add these columns to your SmartList:- Customers you add the ‘Inactive’ column
- Vendors you add the ‘Vendor Status’ column
- Items…follow Jo deRuiter’s suggestion to create a SmartList or if using SmartList Designer see below
Highlight the Items folder then click New.Ā Navigate to Microsoft Dynamics GP > Tables > Inventory > Item Master > Inactive (check this to bring it into the selected fields area).Ā Then create the relationship between the two tables as shown below in the screen shot.Ā Execute Query to verify it works then click OK to save this as a new SmartList.

I am pretty sure the reason that’s not on the out-of-the-box Inventory SmartList is that the field was added only a few versions ago. I believe it was introduced in GP 2013. From what I have seen, in those situations no existing SmartLists were updated.——————————

Hey
Don’t forget about Navigation Lists.Ā I just clicked on Items, then added the filter shown below.Ā Once that was sorted, I clicked the name of the list which before customization said “Items” where it now says Inactive Items.Ā When you click it, you have a the option to Save As – which I did and gave it the name Inactive Items. Ā Once it’s saved, you can customize it to add the Inactive column and it will show in the navigation list like a smartlist favorite. Ā From there, if you need this for export, you can select all then choose Go To and Send to Excel. Ā Ā

Thanks for the Navigation List suggestion. The only issue is thatĀ one of the fields we need on this report isĀ User Defined. When I look at the Customize option there isn’t a user defined field? available. Is there a way to see that type of field on a Navigation List?

If you’re using the (User) Categories from the Item MaintOptions screen, then yes.Ā If they are user defined in some other item setup window, then no.Ā If you have SmartList Builder you also have Navigation List Builder so you can adjust, but you’re kind of back to the original suggestion of using SLB.——————————

Appears you have gotten some great answers on how to get the Inactive field there.Ā Let me know if you need help with SmartList Builder at all.
I have created a product suggestion to get this added to the default SmartList if anyone wants to vote on it.
