We have made limited use of the inventory module.Ā  I just discovered that the inventory module has its own set of journal names separate from the general ledger journal names and there is not an option to associate a workflow with the journal names.Ā  Is there a way to have an approval process around inventory adjustments?

This is not really answering your question as we don’t use workflow either, however, we only gave specific roles permissions through security to even create/post inventory adjustment journals, so are mitigating it that way. Not sure that’s an option if the answer to your question really is a “no, there are no inventory adjustment approval workflows”.

I am trying to set up and test security roles to accomplish the split, but I am having trouble – my first attempt was to use the OOTB role ‘warehouse worker’ as the role to create an inventory adjustment, and then have a second role ‘warehouse manager’ assigned to a second person to finish out the journal, but in my test, the journal does not seem to be able to be posted by the warehouse manager role.Ā  If I give a user both roles, then it works to create and post by a single user.Ā Ā Anyone have suggestions?

      Hi Calvin,
We are not using OOB security roles, all of them are customized to some extent to fit the needs of our business. There is however an OOB duty called “Approve inventory adjustment journal” that has a privilege underneath it “Post inventory adjustment journal”. I haven’t tested it but would assume that someone who doesn’t have that privilege should not be able to post a journal.Ā
      I hope this helps!

Thanks Kerstin.Ā  I was aware of that duty.Ā  If I combine it with an out of box role (warehouse worker) than it will allow the user to create and post an inventory adjustment journal.Ā  So that is helpful if I allow a user to create and post.

I am still interested to try and segregate the ability create the journal and post the journal.Ā  I would still welcome input on that topic.

There are a few more options – again I haven’t tested it, just looking through our roles and what they contain..

Privilege:Ā Create new inventory journals doesn’t seem to allow posting but only creation.Ā
Privilege:Ā Maintain inventory adjustment journals/Maintain inventory adjustment journal lines probably doesn’t allow posting either.Ā

If you were to use these privileges in your worker, and assign the “Approve inventory adjustment journal” duty to a supervisor role, you’d have the responsibilities separated.

Actually, I think I have tested that indirectly, by using the warehouse worker OOTB role and the warehouse manager OOTB role.Ā  Warehouse worker has the duty: Maintain inventory adjustment journal entries, which contains the privileges:

      Create new inventory journals
      Maintain inventory adjustment journals
      Maintain inventory adjustment journal lines

Then I was having the approver have the out of box role warehouse manager which contains:

      Duty: Approve inventory adjustment journal
      Privilege:
Post inventory adjustment journal (among others)

However, the result was that the warehouse worker could create and validate, but the warehouse manager could not post for some reason.

Kerstin is correct. There is no native functionality around this. I’ve leaned on enabling the ‘post’ button for only supervisors in the past.

There is not a native workflow for inventory journals. typically the security roles are used to allow some to create, but ot post, and then it takes an additional role to be able to post. This is the easiest way to maintain considering the usually high number of inventory journals you will have

Workflow approvals are now available for all inventory journals. (Adjustment, Movement, Cycle count, etc..)
They need to be activated in feature management and were introduced in February 2020.Ā  I believe with 10.0.8 or .9

If you need all journals to be approved then this will wok great.Ā  However, if you want approvals based on dollar amounts there are certain restrictions.Ā  I haven’t done any in depth testing but it looks like adding a condition based on dollar amount applies at the line level and not the journal total.Ā  Example:Ā  if my condition says approve if > 1000$

      – if any one of the lines in the journal exceeds 1000$ it will be sent for approval.
      – if all the lines are for 200$ but the total of all lines exceeds 1000$ it will NOT be sent for approval

This is great to see that workflow is available!Ā  I will be sharing this with my organization and looking at this very closely.
