Has anyone ever set up automatic emailing of credit notes to customers?

We create credits in a few different spots: as sales order credits, as free text invoices, and through the RMA process (which really is sales order credits). We have tried playing around with the print management to set it up in a way that it should email (set up a specific purpose for an email contact) when the invoice amount is <0, however, that doesn’t seem to work, and I am not sure what other ways there are short of customizing the code. Any ideas?

      We’re in D365 F&O on 10.0.20, upgrading to .22 in the next month.Ā

I have also asked this question of my IT department and was told this wasn’tĀ  possible.. you cant ONLY mail credits its invoices and credits that can be emailed. Now i don’t know if its because they are the same Document for us. If you do find a way to only do one i would be very interested in seeing how this happens..Ā

If you need help setting up the print management i can help you with that

      Hi Mara,

I think I actually figured it out – it’s not fully set up yet, but I am fairly confident that it will work.

Print management (the general one or the one on specific customers) can be set up to print invoices in a default template, which would be whatever your default is, i.e. email to the customer. You can also specify conditions (right-click on the original default in the left-hand list, click new, and it will be a sub-category of the original default template), i.e. invoice amount <0, and then use a different email address to send those. We currently don’t email all invoices automatically, so this process with emailing credit notes will work for us.

We then will set up a batch job to pick up all posted invoices (free text and sales invoice <0) to email them to the specific contact purposes set up on the customer account.Ā

I have tested everything but the batch job, but I am hopeful that it will work as expected. If you or anyone else want to chat further, please don’t hesitate to reach out to me. Good luck!

      Hi Kerstin,

For what it’s worth, we use PrecisionForm Design/Director to handle emailing in our instance of D365 F&O.Ā  By using Director, you have the ability to setup a tree structure with conditions to determine how emails get handled.Ā  So you could setup a structure to only email credit notes if you wanted.
