Hi all,

So I know that AX 2012 will convert a sales quotation into a sales order, but I have a need to go the other way, from a sales order into a sales quotation. Let me explain.

I work for a manufacturing company and they sell their completed product as a multi-packed item. In all cases this consists of more than 1 item per carton. They also provide what is termed a “Sample” which is a single instance of the boxed items. These are named similarly as the boxed released product, but prefixed with a letter ‘S’.

In AX, we still raise sales orders for these “Samples” however they are priced with zero value, i.e. free-of-charge. From these sales orders of free samples, a customer may subsequently request a quotation for multiples of the boxed items, so I have a need to look at a means of converting the sales order of samples into a sales quotation. This will involve taking the sales lines, removing the item prefix (‘S’) and populating a new sales quotation.

Has anybody done anything like this? Do you have any guidance/advice that would be useful?

Hi Paul,

The current process structure of the sales cycle does not include creating a quotation from an existent sales order on the sales order form without customizing AX 2012 to accommodate this scenario that you have described.

However, if you are not looking at establishing a relationship between the sales order (for sample) and the new quotation, you could use the ‘Copy all’ function in the quotation form header, to select the S.O from where details will be copied to the new quotation header and/ or lines and a quotation can be generated to the customer.

Hi, Nanditha,

Thanks for your reply, it is appreciated. Your suggestion does kind of help. After my original post I spotted the ability to “Copy all”. This would work, however I have to consider a change of item code from an ‘S’ item to normal, i.e. ‘S11011234’ to ‘11011234’. I’m coming to the conclusion that I might need to develop a solution based on the current code
We have a setting on our sales orders which indicates if it is specifically a samples only order. If this is ticked I could remove the ‘S’ from the item number in the sales order and carry forward the new item number into the quotation.
