Closing Sales Order with Back Order Still Remaining

Using AX2009Is there a way to set a Sales Order as complete, even if the item has not been fully shipped?
Currently we will change the quantity on order to the quantity that was actually shipped in order for the Sales Order to go into Delivered status.Ā Asking, because we would like to see whether or not we’ve fulfilled a customer’s request or not.Ā With us changing the quantity ordered to what has been shipped, we lose that visibility.

You can always cancel the delivery remainder, then your SO Qty would be 10, Qty Delivered / Invoiced 7, Delivery remainder = 0.——————————

?I’m on AX2012 and haven’t worked in AX2009, so excuse me if this isn’t an option, but it seems like the exact situation that setting over/under delivery percentages on the released products is designed for.We have a similar scenario where we ship out tanker trucks. A sales order might be for 45,000 pounds, but the actual quantity shipped might vary +/- 1,000 pounds. Of course, we do the same thing you do and adjust the SO to the actual quantity shipped, but in theory – as long as the shipped quantity falls within the specified percentages, the sales order should go to complete rather than generating a BO quantity.

I agree you should not change the quantity, there is existing functionality that caters for this scenario. You can edit the delivery remainder as Colby mentions or When you are posting the packing slip go to the Lines tab, there is a checkbox called “Close.” That posts the quantity you enter and cancels any open delivery remainder so you can maintain the original order quantity reference and only ship what is required. So effectively you are doing the shipping and the update Colby mentions at the same time.——————————

?Andrew Lencsak nailed this – there is a close option at packing slip that can be notched to automatically close the delivery remainder. The over/under percentages are just for preventing invalid activity – they do not control when it should be closed. So for example, you may allow shipping 50 out of 100, but that doesn’t mean the extra 50 isn’t desired. What is missing in AX is a tolerance for when to check that close box on the packing slip. It would be nice if they had another concept, similar to the over/under that was a tolerance for automatically checking the box…

?Thanks Tony for the clarification on the over/under percentages.Ā It is truly bizarre that AX wouldn’t use those to control determining a “successful completion” and close the remainder automatically.Ā They seem a bitĀ pointless otherwise.——————————

Respectfully, i actually disagree about this being bizarre behavior. The over/under % defines the ability to use the close checkbox for over/under delivery but that doesn’t mean I necessarily will over or under deliver. If i have a line for 100 units, and my under delivery is 10%, I have the ability to consider the order closed at 90 units. However, that does not necessarily mean I will ship 90 units and stop, it just means I can. I could also be shipping partials, so I could ship 40 units now and 50 later then decide to close the order using my percentage of 10%. I think the way it’s used in AX is a lot more flexible than just having a percentage that automatically closes the order. that could lead to a lot more user errors.

Steve – The over / under % you reference are checked when doing a ship confirmation, if you haven’t completed all the work / short picked the line and didnt reduce quantity on the load line you wont be able to confirm the load.——————————

Work and loads is only relevant with Warehouse Management module for AX2012 R3 and later, not relevant for WMSI and WMSII. Jessica is on AX2009 as noted in the initial post so would be using traditional picking lists and packing slips.
