      What are other people doing to administer the posting dates in the User Setup screen, are people manually amending them every month?

      We have a job that’s scheduled to run on the first day of every month to update User Setup posting date range.

      Russell,

      How the posting dates are used is dependent on your operational requirements. That being said, I have found over the years that many companies have these defined “backwards.”

      Use General Ledger Setup Posting Dates to define the requirement for the majority of the users. Only define posting dates on users that are the exception – those allowed to post outside the dates defined in General Ledger Setup. TheĀ dates in the Allow Posting From/to fields in the User Setup table take precedence.Ā 

      Using these fields properly has the potential to greatly reduce the work needed on a monthly basis toĀ reset the dates.

      I agree with Cynthia, the most efficient way I have seen the User Setup dates being used is for the exception Users who need to post into previous periods, for example to close a month. The dates on the GL setup are used for all users and the user setup dates for the exceptions.

      Our NAV partner built a small customization to handle this. Ā We created a few ‘dummy’ Permission Sets organized by user business roles (e.g., Finance, Operations, etc.) and assigned them to the User Accounts. Ā We then have a custom Report object that allows us to update the User Setup / Posting Date fields based on a user-selected filter applied to the User Account / Permission Set, which is linked based on User Setup / User ID = User Account / User Name. Ā 

      In that way we can roll our Operations users into the new month as a group while still allowing our Finance users to finish off the month-end of the prior month. Ā We use this approach rather than managing by exception and using the General Ledger Setup as the main control point for Posting Dates due to some other integration processes which require us to leave that one open from Jan 1st to current date.
