Using Microsoft Dynamics NAV 2016.Ā With Serenic Navigator embedded in NAV.
What is everyone doing to track fixed assets that is recorded in NAV?Ā Do users print a list of fixed assets and then have someone manually go around and track (visually account for the FA)? Ā Or what do other users do?Ā We recently implemented a custom scanning solution using scanners to track fixed assets by scanning FA barcodes attached to the fixed asset.Ā However, the data for the tracked and/or counted asset resides outside of NAV.Ā Does anyone track their fixed asset by using NAV, a scanning solution and barcodes, or even with a third party solution?Ā Looking for ideas and solutions.

We track our fixed assets in NAV.The person(s) who ordered the FA (and got the necessary approval for it) have to attest it was received.
I have suggested attaching the e-mails, invoices, etc. using ZetaDocs but that’s not been implemented yet.
FAs are created manually, along with the necessary journals or POs.

Hi, we only use native NAV to track Fixed Assets.
We do the following:
1. Fixed Asset tags and place the FA number in NAV on the Fixed Asset Card (for you guessing that would be your bar-codes)
2. We also attach an employee so we know who was the last person with it
3. We take pictures of the FA and put in the picture section of the Fixed Asset Card
4. Odd years we do a physical audit and ensure everything is psychically there and in working condition, and more or less something that is used.
5. Even years we do an email confirmation audit, basically, here’s what we have assigned to you, are these still yours, do these still work, etc.Ā
6. We also setup a FA Sublcass called CIP, mostly b/c to purchase a FA it must have a FA No and things get a bit wonky when using the GL CIP account – this allows us to see what’s not in and if paid to ensure it’s not being depreciated prior to being put in service.
7. Qtrly we do an Internal Control to ensure all items in CIP should be there, all items in service have a Fixed Asset tag and that tag number in NAV.Sounds like a lot of work, but it’s really not that bad. Probably more detail than you needed, but maybe something useful from it. š

One addition to Adrea’s comments is also add the location code to the Fixed asset card so it is easy to sort/filter at the time of audit.——————————

Hi Debbie,
We do not use bar-codes and scanners on our Fixed Assets. We do for our inventory, but I don’t think our FA ever got to to the stage where that was something of a concern. We just have printed out tags and the audits don’t take a large amount of time. I would assume a scan system would make auditing a lot easier.

Hello, I just moved over to the NAV fixed assets module.Ā Have a couple of questions you may be able to help with.Ā How do you attach a picture of the asset…I can’t seem to get the system to accept a new picture?Ā Also, was wanting to be able to drill in to see the invoice for the purchase of the asset.Ā Any help is appreciated.Ā ĀThanks,

Jeff, not sure what version you are running but I opened Fixed Assets in 2018 and I have a fact box on the right for pictures.
As for drilling to vendor invoice, you need to go to the ledger entries of the fixed asset and drill on the acquisition cost line(s) to see the vendor invoice. Or if you have a scanned copy, you could attach as a link.
