Hi All,I’m being asked by many of my clients how can they share Power BI reports with their clients who are outside of their tenant.
I’m aware that they could use Publish to
web as an option, however in many cases the report to be shared needs to be filtered by either a geographical area or a business unit. There will be instances where many viewers want to see the same report but they all have differing requirements for filtered data.I’d be grateful to hear from anyone else who has had the same request and what options might be available.

Hi Martin,Why not just publish the report with a set of filters that people can use? Here’s an example with public data…

Hello Martyn,you should use Power BI Embedded which allows you to set filters in the URL calling the Power BI API.

Hi Martyn,Good question…I’m dealing with an issue that seems similar currently with our corporate IT team.
You are able to publish to external clients to your tenant; however, do you know if your company is in the process of deploying O365?
Apparently with O365, if there are any “pseudo-tenants” not rolled up to your central tenant with O365 deployment, they must be and there needs to be a special profile created.
Beforehand, this includes an exhaustive authentication process and security vetting before any Power BI tools may be put into a production-level environment – which would allow publishing with a link that may allow users in the active directory to access your reports/dashboards.
This may not be your situation but hope this helps.

The Power BI embedded solution would be Ideal for this use case. Your team would need to develop and host a web page that would be password controlled. Then you can share the link to the website / login information with the external customer. They will be able to interact with your report and apply filters to see they data that is relevant to them.Here are some examples of PowerBI embedded solutions:

Hi Martyn,
In the powerbi.com service one can subscribe and share reports/dashboards to external users. In the case of filtering, start with using RLS (record level security) and include their email address with the associated records.
Another option is to save the report with the filter criteria and then share it (although a savvy user may be able to change the filter).
- Go to the powerbi.com service, and select the Workspace the reports are in.
- On the upper right, click the gear iconĀ
- Under Subscriptions, select the report/content
- Click the pencil icon (note, if a message says “You have no subscriptions” first open a report then click on subscriptions in the upper left and add at least 1 email to the subscription).Ā
- Click Add Another Subscription and add the end users emails.
Another option is 3rd party and called Power BI Robots. It handles the filtering and distribution all one.Ā PowerBI Robots
