      Hi,

      We began using the PowerBI free version to build a business case and then move to the Pro version. We have created many reports and dashboards and finally the Pro version has been approved. However, the number of licenses approved will not covered all the users.

      The question I have is, once some of the users move into the Pro version and start using the addtional features, what is it the users of the Free version won’t be able to see.

      In other words if I created a dashboard and I shared it, but now I’m moving into the Pro version, what is going to happen with the users who ahs the Free version.

      The other question is, if I creataed and shared the dasboard using the free version and I don’t use the additional PRO features, would it be still visibly by the FREE version user?

      As soon as you want to use “Group Workspaces” only those with a pro licence will be able to see the dashboard.  As long as you keep content you want to share with free users in your personal “My Workspace” you shouldn’t have any issues.  Obviously it makes it harder to manage content on an enterprise scale as you cant have content packs for specific areas to download and use and you might need to replicate reports between environments.

      For example, if you create a manufacturing dashboard that updates progress multiple times during the day, anyone consuming that dashboard would need a Power BI Pro license. Or, if you create a report using the Power BI Gateway – Enterprise, then another that uses the personal gateway, anyone consuming or interacting with either of those reports would need a Power BI Pro license.

      Ben,

      Maybe it’s not the thread to point this out, but is it not annoying that MS can’t seem to align their terminology across the board? The link you show refers to the ‘Enterprise Gateway’, like it’s a separate application, when in fact there is only one application available. I can’t help thinking how much this confuses and puts off new users of what is otherwise a great product.

      Maybe, the most important feature is data refresh. If you schedule data refresh using pro version, this dashboard are not been able to share with free version.

      In other words, Dashboards with pro version features can’t be shared with free version.

      Jorge,

      Its on a report by report basis.  If you use Pro features on a report, then all consumers of the report must have Pro.   If you have Pro but use only features that are free, then your consumers can continue to use the free license.

      If you plan on using Pro features (automated data refresh, group workspaces, etc) then you must ensure the consumers of that report also have Pro.

      Greetings Jorge,

      Instead of trying to get all of your users a pro license just give licenses to the group that will be writing and publishing PBI reports to the webservice. Then take those reports and “publish to web” and provide the links to the consumers of your data.  You use way fewer licenses that way and everyone gets use of the reports. You just need to know, as do your users, the links you provide can be accessed by anyone they share them with so the need to consider that.

      Hi,
      That’s really easy, asĀ Tobias Crushsaid, you won’t be able to work with people that has free licensing, as long as you’re publishing reports in a working group.
      Best of all, is that the licensing is really cheap.
