Year End Fix

Year End Fix
Posted by Tracy Yaklyvich on July 10, 2020 at 5:36 pm-
??We performed the year-end process in GP with some income/expense accounts incorrectly categorized as balance sheet accounts, causing balance forward amount where there should be none.Ā We have processed many transactions since the close so don’t want to resort to our back up prior to year end.Ā Does anyone know of a way to update the balance forward amounts?Ā We could post the correcting entry for the first day of the fiscal year but that presents issues as well.Ā Any ideas would be appreciated!
Thanks, Tracy

Hi Ryan, thanks for this very helpful article.Ā A couple of questions please.Ā Do you know if we should wait to fix the posting type of the accounts until after we reopen the historical year?Ā Will transactions posted after the original year-end remain in both the historical and open years?
Thanks, Tracy

Hi
The fix is simple.
Open up the Year End Close window again…DON’T change ANY of the account-types yet
Then Reverse the year end close
Change the Account Types to the correct type
Re-close the year.
Make sure you get a good backup before doing this.
In future, before running year end you can use SmartList to check the account types to ensure they are right before running YE close.
*If you’ve already changed the account types change them back to what they were before you try to reverse the year end close.?

?Hi all. There are over 1,000 accounts where the posting type/typical balance was updated during an inactivation process we ran.Ā Only 80 or so accounts were impacted by the year end.Ā I am thinking we only need to fix the 80 or so accounts that were impacted.Ā Does anyone see a downside to not updating the many older accounts?Ā I just don’t have the staff time to fix 1,000+ accounts if not necessary.Ā Thanks in advance!

,A few years ago I wrote a Tech Tip for th?e GPUG magazine about how important it is to check your GL accounts to ensure that they have the proper posting type. While it is imperative to do so before running the YE Close process, it helps if you do so more frequently to avoid having an issue at crunch time. This way you can take care of them as they pop up. I know that this doesn’t necessarily apply to you in this situation since your accounts were inadvertently changed during an update process, but I am putting this out there for other users who may benefit from this.
A big help is to follow the instructions in the attached document to set up 2 Smart Lists that look for GL accounts that are mis-classified based on their Main account number – for example account 100-4567-00 COS-Shipping is set as a BS account, when the main account 4567 would indicate that it should be a P&L (this assumes that you have a logical Main account schema, such as BS accounts start with a 1, 2 or 3 and P&L Main accounts start with 4 or above). When saving the newly created Smart List you would not only save it as a Favorite, but as a Favorite with Reminder for the user whose responsibility it is to ensure the classifications are correct. Every time the User goes to their Home Page they will see in the Tasks and Reminders box if there are any accounts that need examination and/or correction.
In your case you could also put another column in the query that indicates Created Date and only look for new accounts this year. That would help you avoid seeing all of the old, inactive accounts that you are ignoring.
In your case, have you considered running a SQL update on the GL00100 table to correct the posting types? You can stage it in excel and copy/paste it into SQL: UPDATE GL00100 set PSTGTYP = ‘X’ where ACTINDX = ‘Y’, where X is either a 1 (BS) or 2 (P&L) depending on what you are looking to change to and Y is the Account Index of the GL account. That will be a quick way to clean up your accounts and then, if you use the reminder Smart List, you only will be dealing with recent Account additions.

Hi Tracy,
What version of GP are you in? In the year end closing window of GP, you an also reverse the Year End closing Process.Ā Once you reverse it, you can change the accounts to their correct PostingType( IS to BS or BS to IS). Once you change that, you can run the year end closing again.Ā If you have Management Reporter and use datamart, you have to REBUILD your DATAMART.——————————
