      Greetings All,

      We did a YE Close (dated 12/31/17) in Payables and I expected SmartList to move the Amounts Paid and Amounts Billed for vendors back one year.  However the YTD amounts still include 2017 and 2018 combined.  When will the amounts be cut off for 2017 and be indicated as “last year”?

      ?Hey Don –

      I would perhaps look at the fields that the Smartlist is displaying for those totals.  It could be that the field is not what you expect.  It may be showing the “Life to Date” (LTD) or some other field.
       
      Additionally, you may want to run reconcile for the module to see if the summary tables are somehow out of sync.

      But to start I would just open up Smartlist and Columns to see what the field is that it is displaying so that you are not chasing your tail.  If you show a screen print of your Smartlist, perhaps we can assist.

      Thanks for the reply, Abra.

      It acts as though the YE Payables close was not done a year ago on 12/31/16.  Our internal checklist indicates that it was done and when I did the 2017 YE close, I’m confident that the last close was indicated as 12/31/16.  However the Amount Paid LYR (see attached) in SmartList now shows amounts that include 2016 and 2017 payments.

      I’ve done file maintenance (including reconciling) a number times in December and early January with no indications of problems.

      For now we’ll just hope for better results in 2019.

      Hey Don,
      Just a side note – when you close the year in AP and AR, it moves amounts to different buckets at the day you closed it, but it’s not a date sensitive process.  So if i go in on March 1st, set my GP user date to 12/31/17 and close the year, the year-end close window will show a close date of 12/31/17 but what actually happened was anything in the YTD bucket (which would include transactions up through March 1st) move to the LYTD bucket and whatever is in the LYTD bucket moves to the LTD bucket.   So unless you are actually hitting the close button on 12/31, you really don’t know what those numbers are.

      And even if you do close on 12/31, you could still have discrepancies because if someone enters a Dec invoice on say Jan 5th, it’s going to show in the YTD bucket for 2018.

      Hope all of that makes sense.

      We have a tool called SummaryRecalc that corrects the summary window and smartlists based on when the closes should have happened for ap/ar.  No worry about when the close, what posted when.  Just run our tool and it will be correct.  No more headaches at year end.
