Invoice: How to void when date is in future?
Posted by Heidi-Farnham on February 18, 2021 at 12:31 pm-
I would appreciate any suggestions on how to resolve this request from our accounting staff:
I made an error and posted 4 invoices to the wrong vendor.
I deleted 3 of them but the last one it will not allow me since unfortunately, I put the invoice date as 12/31/21 so it wont allow me to void in the future. See attached. Is there something we can do the in background to either void this or change the date to 12/31/2020 so I can void it?Thank you for your assistance.

Hi Heidi,I’m speculating that you’re using a “non calendar” Fiscal Year (I noticed there weren’t any issues with voiding the 2/2021 invoices)…
At any rate, 2021 is just the “next” year… you can consider setting up the next fiscal year…
… or you can check with your partner and have the dates updated at the backend (via SQL scripting).——————————

Ryan,
Thank you for your response.
I checked the fiscal year and it is a calendar year, thus is already set up.

The only way I have found to correct these is to have someone update the PM20000 table and run a statement that updates that Document Date (Invoice Date) to the correct date and then it is able to be voided in the User Interface.Ā Ā I have had zero luck with any other methods.
Do you have a partner or an IT person you can call for help on that??

Thank you.Ā If the only thing that needs to be updated in SQL is the DOCDATE in the PM20000 table, I can do that.Ā Ā
Can you confirm?
If not, I will contact my partner.
Thank you.
Heidi?

Hi
Yep, just the docdate in the header table for the open/historical transactions wherever it is living right now.
I know you likely already know this, but DO get a backup before running any update statements.
After the update it will void like a charm.
Best of luck.?

Thanks, Jo.
Carol’s method of opening the month worked because it was set for this year.
I will remember your method if the date is really out of whack.
Have a great weekend.

Hi Heidi,What is the error that you are receiving? I did this and had to make sure that the months were open in order to void the transaction.

The error message is that you cannot void a future date.
Attaching the Fiscal Period Setup image.Ā I would guess that the check boxes under the Series Closed section of the screen means that the months November and December are not open.
If so, I can ask our controller if he’s ok with opening through the end of the year so this entry can be voided.
Thank you,
Heidi

Yes, the check marks are a closed period. I opened the periods required; voided the item and then closed the periods.——————————

Carol,
Thank you.Ā Opening the period temporarily worked perfectly, and saved me from mucking about in SQL tables.
I appreciate your taking the time to assist.
