      Hello all, we use the HR benefits and we are noticing that the “Last Change” field is showing users that do not have access to payroll.

      cstephens is an AP clerk and has no access to payroll
      From the security logs we have verified that this user never touched this window, or payroll in general. So how is she getting flagged as the person who changed it? It seems that this user was the first person to log in on the 24th, the employee’s birthday is also on the 24th. So there is some process that runs automatically at first login that is updating the benefit information with the employee’s new age, makes sense I guess.

      So is there a way to control, disable, or run this process manually. It is very difficult to explain to auditors why you have an AP clerk’s name as the person who last changed a HR benefit…

      Hi Matthew– you sure found an interesting issue! Ā 

      Yes, there is a process that runs for the first person who logs into GP for the day, for an “Age-Based” Life Insurance plan. Ā The system will look for those who have a Birthday that day, to adjust their Life Insurance costs accordingly. Ā 

      Perhaps someone at Microsoft could give a better explanation as to why it shows the employee for the User ID. Ā I’ve never noticed that it did that!

      Yeah, I figured it had to be one of those behinds the scenes process GP loves to fire off when someone logs in. It makes sense that who ever is logged in would show up in the changed by, since that who is technically ‘running’ the process. It just would be nice if GP would give us the option to run this manually, so that our audit logs stay clean and presentable.

      Hi Matthew,

      That sounds like a good suggestion to enter into Connect.Ā  I hadn’t noticed that before either, but I agree it would make auditors suspicious!
