      I have read conflicting information regarding emailing standard (but modified) SOP documents versus Word Templates.Ā  I have read on this site that you can only email SOP invoices if they use Word Templates, but I have also read that others are emailing modified SOP forms that are not Word Templates.Ā  We would prefer not to modify all of our existing documents as word templates if we don’t have to (and will likely move to a 3rd party product rather than do so).Ā  However, if we can email our original SOP invoice format, we will likely stick with what we have.Ā  Thank you for any clarification you can provide.

      Hi Kathy,

      You can email individual invoices to the customer by printing the invoice to the screen and then selecting email.Ā  When you do this, it will email the default format of the report to them.

      However, when you use the GP mass email functionality, where you configure a document type such as Order on a customer and select an email address, these use the word templates.Ā Ā  I have heard conflicting info that if you change their email type to HTML you can still email the standard report (not the template), but if you want them to get a PDF or DOC file then you’re forced to use the templates.

      Hi Kathy,
      Please note that Rob’s suggestion to e-mail the on-screen report is not the most elegant one, as it just attaches a .TXT file to the e-mail, which sometimes looks pretty weird..
      However, if you have Acrobate Writer installed, GP will recognize the fact and also allow you to e-mail the report in PDF format straigt out of GP.. but this involves to pay for the a full Acrobat license..

      Our purchasing department does print all POs for example as PDF files and mails them to the vendor in a separate process.. not straight out of GP. The same can be applied to the SOP processing.. The advantage is that you’re not bound to use Acrobate Writer (which is rather expensive), but can use any little software that can produce PDF format (like PDFCreator which is even free).

      Thanks Beat – we have recently started emailing the invoices using the procedure above, but that requires emailing one by one (at least I think so).Ā  I haven’t been able to check out the whole process yet since we got the Adobe piece working again – we had the licensing, but had some issues where the Adobe invoices wouldn’t print.Ā  Turned out it was a simple setting. I would like to be able to email the batch by setting up the email addresses within GP and then select email rather than print.Ā  I think you can do with GP functionality without purchasing 3rd party software, but I’m not sure.Ā  Ā Our partner has recommended a 3rd party product which we are looking at, but just trying to see what we can do with the existing functionality before we go that route.

      We use Liaison Messenger to email our customer invoices and customer statements. It works very well. Their support department is very good and implementation is easy. Liaison works with any reports out of Dynamics (and any other documents for that matter). I would definately recommend this solution.

      Binary Stream’s eMailer Manager can email any SOP document in any format, as well as POs, EFTs, PA billings and Payroll reports. The cost for it would be less than modifying all your current templates!
