Hi GP User Members,
I have a quick question about recording of cash receipts. We currently have 2 systems we are using and one of them is for our patients, and we use GP for our accounting software. Currently we are sending to the bank deposits that are made up of patient payments, and so I key those into GP as Deposit with no receipt because at the end of the month I get a huge journal entry that debits are cash account. Any money we receive it other than patient $ we key that into GPs bank transaction, and then we do a bank deposit entry that totals that deposit. Does anyone combine their patient information and their other income into one deposit, and if so how do you enter that into GP? We’ve been keeping the deposits separately, so in the bank recon module you can find each transaction on the bank statement and in the reconcile bank statement module in GP. Just kind of curios if anyone does anything different.

Hello Melissa,
My recommendation to clients is to have all transactions that affect the checkbook go through the checkbook. If you integrate Journal Entries (or have recurring Journal Entries that typically hit cash), I recommend hitting a clearing account. You would then enter a Bank Transaction to clear that account. In your case, you can either enter a Bank Receipt…then deposit separately….or, I would recommend switching to an Increase Adjustment. The Increase Adjustment would be available for the Bank Rec and doesn’t require a 2nd step (no need to “Deposit”.
If you switch to this method the Reconcile to GL routine under Financial will work better. Also, you can uncheck the “Allow Account Entry” box on the Account Maintenance window.

Good Morning Melissa,We batch patient payments and send to our billing department for posting to our CRM software daily. At the beginning of each business day we reconcile the previous day’s postings to ensure the deposit amount is accurate. We create one deposit with receipts that allows us to increase patient revenue account and any other accounts needed (other operating income, etc). I run a monthly reconciliation between the CRM software and GP via an excel spreadsheet.
So, to ensure each patient payment is applied we are reconciling the daily totals. And to ensure CRM matches GP we are reconciling monthly totals. Hope this helps! Let me know if you would like any screen shots or excel reconciliation templates.
