Cash Ledger
Posted by Tracy Yaklyvich on August 10, 2018 at 1:33 pm-
We currently use the cash ledger to prepare any entries that involve cash.Ā We do not use the bank reconciliation module.Ā Is there any reason, other than the bank rec, to prepare cash entries in the cash ledger?Ā We would prefer to use regular journal entries to take advantage of uploading, copying and reversing.
Your input is appreciated!Ā Thanks, Tracy

Hi Tracy,
If you’re reconciling your cash outside of the system for one reason or another, no, no reason that you couldn’t treat the cash G/L account just like any other account & enter JEs straight to it.The reason that businesses who use the cash ledger/bank rec module & only hit cash there is really the same reason that you’d only hit A/P in your Purchasing module, for reconciliation purposes.
If you book a JE to Cash, you aren’t tagging a checkbook.Ā Thus if you’re trying to run a bank rec, there’s a reconciling item there.
Same story with payables.Ā If you book a JE to A/P instead of letting it flow through the purchasing module, when you go to reconcile, you’re going to have something in A/P that never occurred in the subledger thus creating a reconciling item.

Hi
Kyle is right, entry directly to GL Cash Accounts will not hit the bank rec, but there are some work-arounds.
First things first, though:
Best practice is to:Ā- enter checks cut through AP or Bank Transactions
- Entry of Deposits through AR or Bank Transactions
- Entry of Cash Transaction that are random through Bank Transaction.
That said, many clients find that they need to just upload entries to the GL Cash Accounts, there are third party tools to help with this.Ā One that I am most familiar with and like is Nolan’s Advanced Bank Rec.Ā Ā It looks at the General Ledger and specifically the account setup with the checkbook to search for transactions such as manually entered JE’s to cash whether they be deposits or withdrawals.Ā Again, it looks at JE’s AND Bank transactions.
Here’s a link if you’d like to contact them or your GP partner for more information:

Hi Tracy.Ā
Are you not using GP for your customer invoices? Ā If not then I could see you entering the cash receipt as a JE and avoiding the Sales module completely. I am wondering however how do you keep track of incoming payments? Ā If a customer called referring to a payment and how it was applied; do you track that outside of GP? Ā So many questions I have on your current process.
