      I’m looking for general information or suggestions on how people are using the Notes in the Fact Box.

      ?I wish Microsoft would add a e-mail trigger to notes.  We don’t really use it, but I always show it to new users.  I show how they can leave a message for someone to maybe check something out about a record and send it to someone else’s Role Center.

      Does it notify the recipient somehow that the message is there for them to read??

      They will show up in the “My Notification” page part on the role center if the user has that part exposed.

      We use it for customers, vendors and sales orders, purchase orders. Users utilize notifications to add special notes that will notify the AR/AP people or even sometimes customer services as to why a customer/vendor is on Hold or blocked for transactions. Similarly, on orders to delay shipment or expected delivery that was delayed etc.

      It does show up under My notifications on user’s role center. But we mostly use it to check  the information in the fact box of that customer/vendor/order

      ?We don’t use it an awful lot either.

      I’ve suggested to my users that any notes they don’t want vendors or customers to see on SOs or POs, that they put in there.

      I don’t think anyone is using it to send to the My Notifications area. Having an e-mail notification would be useful, for sure.

      We generally use notes to explain unique situations or to remind ourselves/others to do something out of the ordinary.
      On Orders/Quotes we often describe special pricing/terms or make notes about the status of the quote/order.

      ?At this moment we are doing a test with Notes for the discounts of a vendor.
      If you don’t address a To, the Note is visible for every user.

      As NAV has now place to registrate discounts you receive from a vendor, we try to use Notes for it.
      We already discovered that you see only 2 lines, if you enter more you have to open the Note, and that was just what we want to prevent.

      Perhaps it is different in newer versions. We use NAV2013R2.

      Chris –

      We are currently using notes to provide a high level overview of a specific record within NAV.

      • Customer Records – We use notes to communicate any customer communications that need to be shared between multiple users. A/R, Sales Staff, Customer Service, etc…
      • Item Records – We do not use notes here.
      • Sales documents (invoices, credits, sales orders, quotes)- Used to communicate any customer special requests to our order processing department
      • Posted documents – used to communicate any specific conversations had with the customer after the order has been processed and invoiced.

      I do wish the notes were easier to categorize, but this is not a CRM system, and not made for tracking.

      We are using them at the return orders to communicate between the order processors and the warehouse, and this way it’s also helpful in tracking the status of the return order.

      We are using them on the G/L Register (with small customisation activate Notes) – for approvals to exception journals.

      We looked at the standard NAV workflow approval for journal batches and journal lines – and found it too restrictive to work.

      Our solution was to develop a Jet report that identified exception journal lines – lines over a certain value or posted on non-working days – then these journals require that a note is added to the G/L Register to indicate that they have been reviewed and approved.

      The only flaw is that we are unable to prevent the note from being deleted.
