POs getting archived before all lines received
Posted by Devora on April 13, 2018 at 9:20 am-
?Hello all!
WeĀ have beenĀ using NAV 2016 for just under a year, andĀ have occasion toĀ create POs that have the same item listed on multiple lines, but with different delivery dates.Ā The vendor is our parent company and this is how they handle making large batches andĀ then shipping smaller amounts over time. It is therefore non-negotiable. <g>Ā Ā On our end, when a line is received, this happens correctly.Ā BUT-Ā recentlyĀ we’ve noticed that NAV hasĀ subsequently been closing/archiving the entire PO, so that remaining lines cannot be received. This only seems to occur in this particular scenario.
I’m wondering if anyone else has seen this type of thing. How did you work around it, if so?
Thanks!

Do the additional lines have quantities on them?Ā If not, NAV will recognize that as a fully received and invoiced PO and close it.Ā You may need to put a quantity of 1 on those lines to hold them open.

As Dave mentioned, NAV should not complete the PO if there are still quantities to receive.
?What about using a blanket PO?

?Hi Devora,Can you confirm when you say “Close” I assume you mean delete? As mentioned, double check the lines you add have a quantity. If your process is to not add the quantity until later (perhaps you don’t want the demand on the books before a certain point?) you may have to look at the business process around it.
If there are quantities, I am assuming you validate the proper receipts are being done? Example, someone isn’t removing the QTY column value not the Qty to Receive value because they aren’t receiving all lines.
To help trouble shoot this perhaps turn on the Change Log for that table and item and validate nothing is being changed. I don’t know of any setups in NAV that would cause this.

Hi Devora,Have you looked into potentially using “Blanket Purchase Orders” in NAV for situations like this? It may help to streamline these types of purchases. Dave’s response might be your quick solution!

?Hello,
We use 2016 NAV and our archive and PO deletion is all manual.Ā It’s up to the buyer to archive and when everything is completed – they do one more archive and then delete the order.Ā Maybe think about making this a manual process vs automation.——————————

We are running NAV 2015 and have had the same issue. Our Receiving Team uses Fast Receive and sometimes NAV randomly chooses to archive and delete the PO without all lines being received. We have been unable to see any pattern of when or why.For us, Blanket PO’s work for items where the release quantities are unpredictable. Unfortunately, the downside is that all visibility is lost with regard to what is on order for those items until we cut discrete PO’s for them or manually look to see if there is a blanket PO for them. At least in NAV 2015 blanket quantities do not show up on either the Item Card or the Item Availability by Event/Period/Timeline, etc.
In situations where the release quantities are more predictable we can place a regular PO with multiple releases, but then we have to micromanage inventory levels and we occasionally run into other problems like random premature archive-and-delete.
Somewhat beyond the scope of this thread: we have even had NAV randomly delete PO’s without archiving and when the changelog was examined it showed the PO as having been deleted by an employee who was on vacation and whose computer was powered down at the time! Spooky!

Hi, Brian,What is “Fast Receive”?Ā I performed a quick Google search and didn’t find anything.Ā Is it a third party add-on?

Hi Kelly,I believe so. It enables our Receiving Team to type in the PO number and pull up a list of the open lines from which they can select the item they are receiving. We are not currently using barcodes on our materials (that is coming eventually) so rather than going into the PO to do a line receive or scanning a barcode, this is the solution that they came up with.
