OCR?

      Optical Character Recognition! Ā 

      This summer our multifunctional printer’s life expectance arrived and we began to evaluate our current needs.Ā  It had been a great office tool for 7 year and it is time to retire it, so we looked at all it had done and all we the new printer to do now.

      It is funny to think 7 years ago we were excited to get orders in by fax, and be able to scan a document into our email.Ā  Then only a few short years ago when we upgraded to NAV 2015 we added Zetadocs and a whole new world of possibilities opened up with having the hard copy document digital and at your fingertips in NAV.Ā  We have come a long way in 7 years.

      We hardly print, so printing is not as important in this new device, we hardly fax so faxing not so important in this new device, maybe not necessary at all, an e-fax solution for those random hold outs might be all we need, scanning a must we scan everything that is not already digital for storage and use.

      Then we began our search for the perfect machine and found that “Document Management”Ā  were the new buzz words and if we did not have enough acronyms we have a new one to add OCR.Ā  Now the thing to do is to scan, email, fax (if necessary) documents into a Document Management program and have them processed with Optical Character Recognition and if that is not cool enough….automatically turn them into sales orders, quotes, purchase invoices, deposit remittances and more!!! Ā 

      Ok I knew that it was starting to show up in NAV 2017, but did not realize it is already out there in many programs already.

      Then if that isn’t enough someone mentioned voice recognition was coming soon…ok now I am just blown away with the possibilities!

      Thoughts, comments?Ā  Anyone already on the cutting edge and using OCR or Voice Recognition?

      I can’t wait to hear who is using these great tools already.

      Disclaimer….if I seem a little over excited….in 1995 I was very excited to hear “You’ve Got Mail!”Ā  and shortly after “YAHOOOOO!”

      I am SUPER excited for this as well. We post hundreds of cash receipts and deposits a day, so OCR would help this process.Ā 

      Modern Optical just upgraded to NAV 2016, not NAV 2017 so we may need to find an ISV to take advantage of OCR.Ā 

      I did notice that NAV 2016 has OCR built in, but from what I see and read, it is only for Vendor Invoices. Is this true? Can anyone clarify?

      Technology IS amazing!!

      we found just the ISV for the job!Ā  Definitely can prove a quick ROI with them.

      We use Continia also with very positive feedback.
      Now looking to add their Expense Management system.
      The only negative is finding a partner who knows the system well – through a lot of trial and error we have got the system how we wanted it – not because of the system but because of a lack of guidance.

      We used Continia Document Capture for 1 few years. Ā I saw it while looking for a solution at Summit or Convergence (I don’t remember which). Ā At the time it was sold and supported in the U.S. by a company based in Atlanta. Ā The implementation went well (with the expect few glitches along the way); the consultant came on-site to Illinois, installed and set-up the software, and trained our A/P department. Ā We used it for at least seven of our companies for A/P invoice processing. Ā We had it enhanced for special functionality for Expense reports too.

      The software works well. Ā However the company the we purchased from dropped support for the product. Ā We found there to be no support for it in the U.S. Ā We found that relying on support from Europe (6+ time zones away) was unacceptable. Ā Therefore when we upgraded to NAV-2016 last year the decision was easy. Ā We are now using the built-in interface with Lexmark OCR. Ā While there are certainly pros and cons, all is well; we have now been live 359 days!

      The main point here and piece of advice that I would give is that when looking for a software solution, don’t forget to consider the organization that will be providing support.
