      Can someone tell me the best way to attach documents from my local desktop to the fact boxes in NAV?

      Two inexpensive ways.  First, ZetaDocs Express is free with NAV.  This allows the user to drag documents onto the NAV documents (i.e. sales orders, purchase orders, etc.) which will then stay with the document and follow on documents (shipments, receipts, and invoices).  ZetaDocs additional products with increased functionality you can purchase.  Plus, there are other document management solutions available.

      The other method is to use the record link function (standard NAV functionality) which allows you to attach the link to a file on a document.  One of the big issues here is that users must have rights to the folder which holds the document or clicking on the link will not take them anywhere.

      We are using Zetadocs but I am unable to add files to the document fact box. Is this is a set up or permission issue? I can see an icon called Desktop but when I click on it non of files from my local desktop are in it. Does NAV have its own desktop and documents files? If so, how can I access me documents from my local desktop.

      Zeta does have its own storage options.  If you open the Zetadocs General Settings tab, you will see what is set up for storage under the Archiving setting.  It will be either “SharePoint” or “Zetadocs Archive”.  Depending on this setting, you will need to have a location specified under either the Sharepoint or Zetadocs Archive.  You can test that the connection is valid by clicking on the globe icon to the right of the field.  Users will need permission to whatever location you have specified to store and view documents stored in that location.

      Chris,

      Have you tried a different folder?

      Also, it may not be showing due to file types. I don’t know if this is still the case, but at one time the valid filenames were .doc, .docx, .xls, .xlsx, .pdf, a variety of image formats, plus a couple of other file types.

      If this is the issue, perhaps you could try a folder that contains some PDF or JPG files.

      You say you are using Zetadocs, but you are unable to add an attachment in the Zetadocs factbox.

      Do you get an error message?

      We found that with ZetaDocs if our subject field in the outlook inbox is not showing we can not drag the documents from outlook into zetadocs.  Not sure if you are getting the same type of problem.

      If you are going to start using ZetaDocs look into storing them in sharepoint, it has much better indexing than a local storage.

      Chris,
      Looks like you are using Citrix to publish NAV? If you are then the Desktop folder you see is on the Citrix server you are connecting to and not the local client. I think the best thing to do is save the file to a network share then attach from there.

      If you are using NAV 2016+, there is one more way to attach documents besides Zetadocs or links. “Incoming documents” allows you to attach files to journals, purchase invoices, purchase credit memos, sales invoices, and sales credit memos. In the case of journals, if you post a general journal with an attached incoming document, you will see the attachment link in the incoming documents factbox when selecting the row in the general ledger entries list.

      If you are using native NAV functionality for record links, beware where the actual file is located.

      If you attach a document with a record link, and that document is located on your desktop, then the record link will be defined as 

      C:UsersRichard M. NixonDesktopattachment.pdf

      So that link only works for you. If I pull up that same order on my system, that record link will not work for me because my username is not Richard M. Nixon, nor do I have a file named attachment.pdf on my desktop.

      The solution to this problem is to store the files on a network share that everyone has access to. If all users have a network share mapped to S:, then creating a record link for S:attachment.pdf will work for everyone.

      Zetadocs does not have this problem, since it will relocate the file for you to a central file storage that everyone can get to.

      Incoming Documents also copy the file to a central location so it doesn’t have the problem either.

      ?UK ISV Dynamics Consultants have a Document Receiving function that attaches from emails or drag n drop.

      We have it working at a few customers and they’re all happy with it.

      FYI – this is a hosted environment and our hosting service forces us to use Citrix. Today I showed Chris how to properly navigate back to his computer in order to see documents. I also showed him how to make it easier by creating a root folder and then adding that folder to his desktop.

      What would be really nice would be if the drag and drop feature could be made to work in a Citrix environment.
