Good morning everyone!

We have recently upgraded to GP2016 R2 and are excited to start using the workflow feature for our invoice approval/payables, but we are not sure where to begin.  Is there anyone who has completed this and has a sample of the workflow or flowchart that they would be willing to share?

Hi Monica,

The Workflow in GP is pretty easy to set up.  Have you started down the path with getting the server set up to run the web services and connected into email?  If not, you will have to install the Web Services Runtime off of the media.  If that part is done, you just need to set up the workflow for email  (Microsoft Dynamics GP > Tools > Setup > System > Workflow Setup) and then build the workflow (Microsoft Dynamics GP > Tools > Setup > Company > Workflow > Workflow Maintenance).  In the drop down, select Purchasing and then you have to decide how you want to do your approvals, either by batch or by transaction.  I always recommend disabling the other way of entering transactions if you use one for workflow. 

At that point, you have to build the steps.  It’s always best to draw everything out first in a flowchart, determine your requirements, approvers, second approvers, etc.  The steps are pretty self explanatory.  Start in your test company because it’s super easy to copy the workflow over to Live when you’re done.  I have some slide decks on presentations I’ve done on setting up the workflow I could send over if you like.
