After upgrading to GP2015r2 I was hoping to take advantage of the new Workflow 2.0 process. I do have it installed and “working” for something like a simple “approve a gl batch” email approval. But beyond that, I’m kind of stuck and don’t find much in the way of documentation other than the installation guide which does not go into sample workflows.

A couple examples would be Purchase Order approvals, and Purchasing Invoice approval routing to Departments.

What are ya’ll using Workflows for & how?

      Thanks,
      David

      David,
Welcome to the wonderful world of WF 2.0.. or shloud we call it WTF 2.0 ? 🙂
I gave up trying to create WF’s in GP.. not that I needed it, but I was curious how it would work if we decided to ditch our current procurement system (outside of GP) that generates our PO’s in GP..
I cannot stress enough the lack of flexibility of WF 2.0 when compared to what other software have.. .it is so much un-intuitive and focues around only 2 options : either you chose the AD hierarchy and have to rely on IT to make sure employees are properly setup, or you have to create your own rules, as it’s the case when employees are authorized to do requisitions in more than one department.. try to “translate” that to AD directory structure.. You end up with something that’s a nightmare to maintain.
Ian Grieve has written a book about WF 2.0 and I think he even published an updated version when 2016 was released.. http://publishing.azurecurve.co.uk/
This is the only book I’m aware of for WF 2.0… aside of the MS blog pages, which aren’t really helpful, and a few videos. They just focus on basic WF design..
Chek if the GPUG library has some recorded webinars about the topic.
      Good luck.

      Hi David-

We transitioned from a homebrew invoice approval system to WF 2.0 and it’s been OK for the most part. Our challenge was similar to yours.

I had to get a little creative on how to handle this — example: I handle/approve every invoice that is IT-related. We set up a pretty large amount of vendor classes and moved the vendors into these categories. All of the vendors I work with are set up to be in the vendor class of “IT” and that is used in the check condition in the steps.

In the actual Payables Transaction workflow, there are multiple steps with conditions to check based on the vendor class and route to the appropriate person that is the manager/department head.

It may not be the best set up, but it works for us. I hope this helps a little.

      Thanks.
      -Joe

      Beat,

Thanks for confirming that I’m not completely clueless! I was afraid I had missed something and everyone else would chime in saying it’s so easy a drunken monkey could set up a workflow in minutes! 🙂

I guess I’ll order that book asap.
